Before anything gets built, you need to know where the leverage actually is. In an established business it's rarely the chatbot everyone is demoing. It's in the gaps between systems: the CRM that doesn't talk to accounting, the job sheet someone retypes every Friday, the report that takes two days to pull.

So we map it. Which systems you run on, where each number comes from, who touches it, and how often it's wrong. Then the work around it: quotes nobody chases, the same support questions every day, invoices keyed in twice.

Every opportunity gets ranked by payoff against effort, with a rough cost attached. Some will be AI. Some will be data cleanup that has to happen first, and I'll tell you which is which. If nothing clears the bar yet, you'll hear that too.

Short intake

A few questions before we meet: which systems you run, who owns them, and what you'd fix first if you could.

Map the systems

We sketch how data moves between your CRM, accounting, operations software, and spreadsheets, and where it gets retyped or goes stale.

Walk the workflows

Quoting, scheduling, billing, support, reporting. We follow the work through and mark where time goes and errors creep in.

Rank the opportunities

Each idea gets a rough cost, a likely payoff, and an effort score, so the ranking is something you can argue with.

Flag the risks

Anything touching customer records, financial data, or system access gets called out before it becomes a build decision.

What owners ask before we start

How long does the session take?
Usually 2 to 4 hours in one sitting. A business running three or four core systems tends to land near the short end. Multiple locations or custom software push it toward four.
Who from my team should join?
You, plus whoever knows where the numbers really come from. That's usually an operations lead, someone from the office or accounting side, and your IT contact if you have one. Two to four people is plenty.
Do I need to be technical to take part?
No. You bring how the business runs, and I handle the systems side. Anything that needs your IT provider or a software vendor gets written down as a specific question for them, so nothing stalls on jargon.
What do I walk away with?
A written summary with a map of your systems and data, a ranked list of AI opportunities with a rough cost and payoff for each, the risks worth knowing about, and a recommended first build.
Can we do this over video?
Yes. In person works anywhere around Spokane and the Inland Northwest, and video with screen sharing works everywhere else. If the work happens on a shop floor or in a yard, in person is worth the drive.
What if AI isn't a good fit right now?
Then I'll say so, and tell you what would change the answer. Often it's a data problem first, like records split across systems or a spreadsheet nobody trusts. Fixing that pays off on its own and makes AI worth a second look later.
